Project overview
In today’s rapidly evolving workplace, effective change management is crucial for organizations adopting new technologies. Microsoft’s Copilot serves as an AI-driven assistant designed to enhance productivity and facilitate seamless transitions to new workflows.
Our team identified a gap in supporting change managers who play a pivotal role in integrating Copilot into their organizations. We set out to create a feature within Viva Engage that would provide these managers with the resources, tools, and community support they need to facilitate a smooth adoption process.

Our team’s leveraged our own redefined Envisioning process to tackle the issue of Copilot adoption with Viva Engage:
Frame
Defining scope, aligning on goals and determining final deliverables
Wallow
Immersing in research, previous work done for this space

Brainstorming ideas and iterating on draft designs to explore breadth

Polishing the final deliverables for review with leadership
Framing & Wallowing
Our team defined a scope and timeframe of approximately 10 days for this sprint. After quickly aligning on the overall goal, our team invited subject matter experts on the team (in this case, our customer success managers) to explain the various needs and challenges that change managers were facing with the launch of Copilot.
Moving into the Design and Refine phases
In the latter half of our sprint, we were much more design heavy. Given the tighter timeline, we dove into higher fidelity mocks and iterated on them until we had a set ready for the final proposal deck.
The end result? Fortunately, it was a huge hit and we got the green light to begin preparing designs to have them developed by the engineering team. Within a month, we launched the MVP.
